Terms of Service

Please read these Terms of Service carefully before using Armanac. By creating an account or using our service, you agree to be bound by these terms. If you do not agree, do not use Armanac.

1. Acceptance of Terms

By accessing or using Armanac (the "Service"), operated by Armanac LLC, a Wyoming limited liability company ("Armanac," "Company," "we," "us," or "our"), you ("User," "you," or "your") agree to be bound by these Terms of Service ("Terms"), our Privacy Policy, and all applicable laws and regulations. These Terms constitute a legally binding agreement between you and Armanac LLC.

If you are using the Service on behalf of an organization, you represent and warrant that you have authority to bind that organization to these Terms.

We reserve the right to refuse service to anyone for any reason at any time, subject to applicable law.

2. Description of Service

Armanac is a software-as-a-service (SaaS) web application that provides:

  • Firearms & NFA Collection Management: Tools to catalog, track, and manage your personal firearms, NFA items, ammunition, and accessories, including details such as make, model, caliber, serial numbers, values, round counts, maintenance logs, and optional beneficiary or trust information.
  • CCW Reciprocity & Permit Tracking: A reference tool that displays concealed carry permit reciprocity information across U.S. states based on publicly available data, plus a permit wallet and expiration reminders.
  • Range Training & Ballistics Tracking: Tools to log and review shooting sessions, track ammunition usage, record drills and scores, build ballistic "DOPE" cards, and monitor training progress over time.
  • Exports & Backups: Tools to export your records to CSV and create passphrase-protected encrypted backups (available on every plan), plus styled PDF document packets on paid plans.

The Service is provided "as is" and "as available." We reserve the right to modify, suspend, or discontinue any feature or aspect of the Service at any time with reasonable notice.

3. Account Registration and Security

3.1 Eligibility

You must be at least 18 years of age to create an account or use Armanac. By registering, you represent and warrant that you are at least 18 years old. If we discover that a user is under 18, we will immediately terminate their account and delete all associated data.

3.2 Account Creation

Armanac uses passwordless sign-in. To create and access an account, you provide a valid email address and sign in with a one-time code we email to that address. You agree to:

  • Provide accurate and complete registration information, including your legal name and date of birth (used for the documents the Service generates and to confirm you meet the age requirement).
  • Maintain and promptly update your account information.
  • Keep access to your email account secure, since it controls access to Armanac.
  • Not share your account with any other person.
  • Notify us immediately of any unauthorized access to your account.

3.3 Account Security

You are solely responsible for all activity that occurs under your account. Armanac is not liable for any loss or damage arising from unauthorized access to your account. Because access to Armanac is controlled by your email inbox, and given the sensitive nature of firearms data, we strongly recommend securing that email account with a strong, unique password and two-factor authentication.

4. Subscription and Billing

4.1 Service Tiers

Armanac offers both free and paid subscription tiers. The features, limitations, and pricing of each tier are described on our pricing page and may be updated from time to time. Changes to pricing will not affect your current billing period.

4.2 Free Tier

The free tier provides limited access to Armanac features at no cost. Free tier availability, features, and limitations may change at our discretion with 30 days' notice.

4.3 Paid Subscriptions

Paid subscriptions are billed on a recurring basis (monthly or annually, as selected at purchase). By subscribing to a paid tier, you authorize us to charge your payment method on a recurring basis for the applicable subscription fee plus any applicable taxes.

4.4 Payment Processing

All payments are processed securely through Stripe. We never receive, store, or have access to your full credit card number. Your use of Stripe is subject to Stripe's Terms of Service.

4.5 Auto-Renewal

Paid subscriptions automatically renew at the end of each billing period unless you cancel before the renewal date. You will be charged the then-current rate for your subscription tier at each renewal.

4.6 Cancellation

You may cancel your paid subscription at any time from your account settings. Upon cancellation:

  • You retain access to paid features through the end of your current billing period.
  • Your account reverts to the free tier at the end of the paid period.
  • No partial refunds are issued for unused portions of a billing period.
  • Your data is retained and accessible at the free tier's limitations; no data is deleted due to downgrade.

4.7 Refunds

Subscription fees are generally non-refundable. However, if you experience a material service outage or billing error, contact us within 30 days and we will evaluate your request in good faith.

5. User Conduct

By using Armanac, you represent, warrant, and agree that:

  • All firearms recorded in your account are legally owned or possessed by you in compliance with all applicable federal, state, and local laws.
  • You will not use Armanac to facilitate, document, or track any illegal activity, including but not limited to straw purchases, illegal firearms trafficking, unlawful transfers, or possession of prohibited items.
  • You will not use the Service to aid or abet any person in violating any applicable firearms law.
  • You will not attempt to gain unauthorized access to any portion of the Service, other users' accounts, or our systems.
  • You will not use the Service to harass, threaten, or harm any person.
  • You will not reverse engineer, decompile, or disassemble any portion of the Service.
  • You will not use automated systems (bots, scrapers) to access the Service without our written permission.
  • You will not introduce malware, viruses, or any other harmful code.
  • You will not use the Service in any manner that could damage, disable, or impair our infrastructure.

Violation of these conduct requirements may result in immediate account termination without notice or refund.

6. Intellectual Property

6.1 Our Intellectual Property

The Service, including all software, design, text, graphics, interfaces, and the Armanac name and logo, is owned by Armanac and is protected by copyright, trademark, and other intellectual property laws. You are granted a limited, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose in accordance with these Terms.

6.2 Your Data

You retain full ownership of all data you enter into Armanac. We claim no intellectual property rights over your content. You grant us a limited license to store, process, display (to you), and back up your data solely for the purpose of providing the Service.

6.3 Feedback

If you provide suggestions, feature requests, or other feedback about Armanac, you grant us a non-exclusive, royalty-free, perpetual license to use such feedback to improve the Service without obligation to you.

7. CCW Reciprocity Data Disclaimer

IMPORTANT: READ THIS SECTION CAREFULLY.

The CCW reciprocity information provided by Armanac is for general informational and reference purposes only. It does NOT constitute legal advice.

You expressly acknowledge and agree that:

  • Not legal advice: Armanac is not a law firm and does not provide legal advice. Reciprocity information displayed in the Service is not a substitute for consulting a qualified attorney licensed in the relevant jurisdiction.
  • Laws change frequently: Concealed carry laws, reciprocity agreements, and permit recognition are subject to change at any time through legislation, executive action, court rulings, or administrative decisions. Changes may occur without notice and may not be immediately reflected in our system.
  • Verify independently: Before carrying a concealed firearm in any jurisdiction, you are solely responsible for independently verifying the current law with authoritative sources, including the attorney general's office of the relevant state, official state police resources, or a licensed attorney.
  • No guarantee of accuracy: While we make reasonable efforts to keep reciprocity data current, we make no representation or warranty that the information is accurate, complete, or up to date at any given time.
  • Your responsibility: The decision to carry a concealed firearm in any jurisdiction is yours alone. You bear full legal responsibility for ensuring you are in compliance with all applicable laws. Armanac bears no responsibility for any legal consequences arising from your reliance on reciprocity information provided through the Service.
  • State-specific restrictions: Even where reciprocity exists, states may impose specific restrictions (prohibited locations, magazine capacity limits, duty to inform, etc.) that are beyond the scope of a reciprocity lookup tool. You must research the full legal requirements of each state independently.

BY USING THE CCW RECIPROCITY FEATURE, YOU ACKNOWLEDGE THAT YOU UNDERSTAND THESE LIMITATIONS AND ACCEPT FULL RESPONSIBILITY FOR YOUR OWN LEGAL COMPLIANCE.

8. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:

  • ARMANAC, ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING FROM OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE.
  • ARMANAC'S TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING FROM OR RELATED TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO ARMANAC IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR (B) ONE HUNDRED DOLLARS ($100.00).
  • ARMANAC SHALL NOT BE LIABLE FOR ANY DAMAGES ARISING FROM YOUR RELIANCE ON CCW RECIPROCITY DATA, INCLUDING BUT NOT LIMITED TO CRIMINAL CHARGES, FINES, CIVIL PENALTIES, ARREST, DETENTION, CONFISCATION OF PROPERTY, OR LEGAL FEES.
  • ARMANAC SHALL NOT BE LIABLE FOR ANY UNAUTHORIZED ACCESS TO OR ALTERATION OF YOUR DATA, EXCEPT TO THE EXTENT CAUSED BY OUR GROSS NEGLIGENCE OR WILLFUL MISCONDUCT.

SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF CERTAIN DAMAGES. IF THESE LAWS APPLY TO YOU, SOME OR ALL OF THE ABOVE LIMITATIONS MAY NOT APPLY, AND YOU MAY HAVE ADDITIONAL RIGHTS.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ACCURACY.

WE DO NOT WARRANT THAT:

  • The Service will be uninterrupted, timely, secure, or error-free.
  • The results obtained from the Service will be accurate or reliable.
  • Any errors in the Service will be corrected.
  • The CCW reciprocity data reflects current law in any jurisdiction.

10. Indemnification

You agree to indemnify, defend, and hold harmless Armanac, its officers, directors, employees, agents, and affiliates from and against any and all claims, damages, obligations, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from:

  • Your use of or access to the Service.
  • Your violation of these Terms.
  • Your violation of any applicable law, including firearms laws.
  • Your violation of any third-party rights.
  • Any data or content you enter into the Service.
  • Any claim by a third party related to your use of the Service.
  • Your reliance on CCW reciprocity information provided through the Service.

This indemnification obligation survives termination of your account and these Terms.

11. Data Privacy

Your use of Armanac is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the collection, use, and storage of your information as described in our Privacy Policy.

Key privacy commitments referenced here:

  • We never sell your data.
  • Sensitive personal data is encrypted at rest (AES-256-GCM) and all traffic is encrypted in transit (TLS).
  • Data is stored exclusively on US-based servers.
  • You may export or delete your data at any time.
  • We require a warrant for content data disclosure to law enforcement.

12. Termination

12.1 Termination by You

You may terminate your account at any time by using the account deletion feature in your settings (after cancelling any active paid subscription) or by contacting us at contact@armanac.com. Upon termination, your data will be deleted in accordance with our Privacy Policy.

12.2 Termination by Us

We may suspend or terminate your account immediately, without prior notice or liability, if:

  • You breach any provision of these Terms.
  • We reasonably believe your account is being used for illegal activity.
  • We are required to do so by law or valid legal process.
  • We discontinue the Service entirely (with 90 days' notice and data export opportunity).

12.3 Effect of Termination

Upon termination:

  • Your right to access and use the Service ceases immediately.
  • We will delete your data per our Privacy Policy retention schedule.
  • Provisions that by their nature should survive termination (including Sections 6, 7, 8, 9, 10, 13, and 14) will survive.
  • If your account is terminated for cause, no refund will be issued for any remaining subscription period.

13. Dispute Resolution

13.1 Informal Resolution

Before initiating any formal dispute resolution, you agree to first contact us at contact@armanac.com and attempt to resolve the dispute informally for at least 30 days.

13.2 Binding Arbitration

If informal resolution is unsuccessful, any dispute, claim, or controversy arising out of or relating to these Terms or the Service shall be resolved by binding individual arbitration administered by the American Arbitration Association ("AAA") under its Consumer Arbitration Rules. The arbitration will be conducted in the English language by a single arbitrator in the State of Wyoming (or, at your election, your county of residence within the United States).

13.3 Individual Basis Only

YOU AND ARMANAC AGREE THAT ANY DISPUTE RESOLUTION PROCEEDINGS WILL BE CONDUCTED ONLY ON AN INDIVIDUAL BASIS AND NOT IN A CLASS, CONSOLIDATED, OR REPRESENTATIVE ACTION. If for any reason a claim proceeds in court rather than arbitration, you and Armanac each waive any right to a jury trial. The arbitrator may not consolidate more than one person's claims and may not preside over any form of representative or class proceeding.

13.4 Exceptions

Notwithstanding the above, either party may bring an individual action in small claims court for disputes within the court's jurisdictional limits. Either party may seek injunctive or equitable relief in any court of competent jurisdiction to prevent actual or threatened infringement of intellectual property rights.

13.5 Arbitration Opt-Out

You have the right to opt out of binding arbitration within 30 days of creating your account by sending written notice to contact@armanac.com with the subject line "Arbitration Opt-Out." Your notice must include your name, email address associated with your account, and a clear statement that you wish to opt out of the arbitration provision. If you opt out, the Governing Law and jurisdiction provisions in Section 14 apply.

13.6 Costs

Armanac will pay all AAA filing fees, administration fees, and arbitrator fees for claims under $10,000, unless the arbitrator determines your claim is frivolous. If the arbitrator issues an award in your favor, we will reimburse your attorneys' fees and costs to the extent the arbitrator deems appropriate.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Wyoming, without regard to its conflict of law provisions. If the arbitration provision in Section 13 is found unenforceable or you have opted out, you consent to exclusive jurisdiction and venue in the state and federal courts located in Wyoming for any dispute arising from these Terms.

15. Modifications to Terms

We reserve the right to modify these Terms at any time. When we make changes:

  • We will update the "Last updated" date at the top of this page.
  • For material changes (changes to arbitration provisions, liability limitations, pricing, or user rights), we will notify you by email at least 30 days before the changes take effect.
  • Your continued use of the Service after the effective date of any modifications constitutes acceptance of the modified Terms.
  • If you do not agree to the modified Terms, you must stop using the Service and may delete your account.

Non-material changes (clarifications, formatting, typographical corrections) may be made at any time without notice.

16. General Provisions

16.1 Entire Agreement

These Terms, together with the Privacy Policy, constitute the entire agreement between you and Armanac regarding the Service and supersede all prior agreements and understandings.

16.2 Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be modified to the minimum extent necessary to make it enforceable, or if modification is not possible, severed from these Terms. All remaining provisions shall continue in full force and effect.

16.3 Waiver

Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision. Any waiver must be in writing and signed by an authorized representative of Armanac.

16.4 Assignment

You may not assign or transfer these Terms or your rights hereunder without our prior written consent. We may assign these Terms in connection with a merger, acquisition, reorganization, or sale of substantially all of our assets, provided the assignee agrees to be bound by these Terms.

16.5 Force Majeure

Armanac shall not be liable for any failure or delay in performance due to circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, government actions, power failures, internet disruptions, or pandemics.

16.6 Notices

Notices to you will be sent to the email address associated with your account. Notices to us must be sent to contact@armanac.com. Notice is deemed received 24 hours after email is sent.
